Start with original identifiers and their source
Record physical VIN, production information, original market and legal model, retaining seller version wording beside any translation. The model-identity dossier connects the naming without erasing configuration differences. State the evidence date and the party claiming control of the actual car. A high-trim or Sea Lion nickname cannot replace legal identifiers. Resolve a discrepancy through the responsible source rather than silently changing a character or importing another brochure’s data. If the seller offers another VIN, create renewed acceptance records; an assertion that it is equivalent must not conceal a material change the buyer needs to review.
Describe the installed energy and driven configuration
Use supported records and actual hardware evidence through the market-version guide. Retain applicable battery, charging and RWD or AWD identity separately. Do not include a capacity or connector from another region because its brochure seems familiar. Count identified charging equipment only when it is actually agreed, not visible solely in a representative image. Keep commercial inclusion, compatible fitment and present operation distinct. A receiving provider should understand the configuration without rebuilding it from inconsistent sales messages. Unconfirmed claims remain conditional and must not become accepted specification merely because a model-level quotation includes a long equipment paragraph.
List working functions and legitimate access limits
Record cabin, assistance and convenience equipment that influenced the decision with relevant observations. Use the software and assistance dossier to separate fitted hardware from regional network services. The key and access transfer guide keeps a seller’s working demonstration separate from supported buyer ownership. Disclose original items, replacements and alterations. Avoid full-options shorthand and future activation promises as substitutes for demonstrated current features. A detailed list should show what is physically present, what works within the examined conditions and which services remain limited, rather than implying every advertised function continues after export merely because the screen displayed it once.
Attach present findings and defined preparation
Reference dated condition evidence, relevant tests, intervention records and unexamined areas. A new proposal needs initial and storage condition verification rather than invented prior-use claims. List agreed operations, providers, exclusions and suitable affected confirmation through the negotiation review. Do not compress a limited report into fault-free or full-battery-life assurances. If necessary diagnosis remains incomplete, writing it in the schedule does not independently establish acceptance. Keep the next evidence point visible with its consequence for commitment. Commercial scope and current technical findings should be connected but not treated as interchangeable proof of future reliability.
Reconcile handover objects while protecting private access
Count actual keys, appropriate cables, tools, documents and removable accessories. State what remains installed, what is removed and which original objects are retained. The shipping dossier keeps current odometer, relevant energy state and visible condition attached to a date and candidate. Do not include passwords, unnecessary identity files or access-bypass instructions in public enquiries or widely shared records. Sensitive legitimate transfer belongs in an appropriate channel. Physical keys and continuing services are different acceptance questions, so retain each explicitly. A generic complete-handover promise cannot replace the count and supported ownership conditions that the buyer will need after arrival.
Keep authority and approval separate from the equipment list
Reference the schedule in appropriate purchasing documents while independently checking seller control, contracting parties and beneficiary through the export process. Retain validity, delivery boundary and exclusions with qualified review when needed. A technically described car does not establish authority to receive payment or receiving eligibility. The pre-shipment comparison preserves the approved candidate after work or movement within its scope. A changed VIN, component, significant finding or account arrangement reopens affected acceptance. The record should remain useful without promising universal legal remedies or future performance from the fact that both parties possess a detailed list of equipment.
